Video Social Proof (Service-Specific Data Use)

1. Overview

Video Social Proof is a service operated by West Pro Media Services Ltd that enables clients to record and manage video testimonials. This section explains how we collect, process, and store data when you or your customers use this service.

2. Information We Collect

When you use Video Social Proof, we may collect:

  • Basic contact details (such as name and email address) used for account setup, client communication, and authentication.

  • Video and audio files created or uploaded through the service.

  • Metadata relating to those videos (for example: recording time, duration, watermark settings, and file identifiers).

  • Technical information automatically provided by your browser or device (such as IP address and browser type) used for service delivery and security monitoring.

3. Purpose of Processing

We process this information in order to:

  • Provide and maintain the Video Social Proof platform and its features.

  • Store and deliver recorded testimonials to clients.

  • Manage watermarking, credits, and account configuration.

  • Ensure platform security, prevent abuse, and meet our legal obligations.

All processing is performed on the lawful bases of legitimate interest, contractual necessity, and, where applicable, legal obligation under the UK GDPR and Data Protection Act 2018.

4. Video Storage and Retention

Video files are held temporarily on our secure system for processing and then transferred automatically to a linked Google Drive folder allocated to each client.
These folders are provided solely for the storage of video testimonials created through the service and must not be used for personal or unrelated file storage.
Files held in system storage are automatically removed after approximately 10 days. Archived copies within Google Drive remain under the client’s control and subject to the client’s own retention or deletion practices.

5. How We Share Data

To operate the service, we use a small number of trusted third-party providers that deliver:

  • Secure cloud hosting and database infrastructure

  • Video conversion and delivery services

  • Email and notification delivery

  • Cloud file storage and backup

  • Analytics and performance monitoring

These providers act as data processors under our control and are bound by written data-processing agreements that require compliance with the UK GDPR / EU GDPR, confidentiality, and appropriate security measures.
We do not sell, rent, or trade personal information to third parties.

6. International Transfers

Where service providers store or process data outside the UK or EEA, transfers are protected by one of the following safeguards:

  • An adequacy decision from the UK or EU Commission; or

  • Standard contractual clauses approved by the relevant regulator.

7. Data Protection Agreements

Because all of our core service providers are GDPR-compliant and we have executed appropriate data-processing agreements with each, no further action is required from clients. This paragraph may be cited as confirmation that such agreements are in place and reviewed periodically.

8. Data Subject Rights

You have the right to request access to, correction of, or deletion of your personal data; to restrict or object to processing; and to request a portable copy of your information.
To exercise these rights, contact support@westpromediaservices.com.
We will respond within 30 days in accordance with UK data-protection law.

9. Retention and Deletion

We keep personal data only for as long as necessary to provide our services and to meet legal or accounting requirements. When no longer required, information is securely deleted or anonymised.

This section forms part of the overall West Pro Media Services Ltd Privacy Policy.
